Virtual Ceremony Portal Admin Guide

 

Overview

This guide will help you set up and customize your virtual ceremony webpage and manage your virtual graduate slide database. Whether you’re hosting your slides on an internal site or a MarchingOrder site, graduate slide content changes and additions will be managed here.

NOTE: On your Ceremony Files Delivery Date, your graduate database will be published to your virtual ceremony portal. You will receive an email when your virtual ceremony portal is ready.  The content will then be available for your review and edits on the Participants Tab. 
 

Instructions

To begin, login to https://virtualportal.marchingorder.com

Select the Ceremony Page

MarchingOrder has pre-loaded an option for each of your virtual ceremony pages.

Portal Links

There are two URL’s located at the top of your Admin Portal: Virtual Ceremony URL, and Internal URL

The Virtual Ceremony URL is the public link that can be shared with graduates and guests. If your ceremony start time has not yet arrived, they will see a note telling them when the page will open.

The Internal URL is to view your final, published site, and will bypass the date block in the link above.

If you click the link above and do not see graphics and something looks broken, don’t panic! It just means your site is still being worked on. Please use the Preview function to view and edit your site in the meantime.

Customize Your Ceremony Page

On The Details tab choose the ceremony from the ceremonies dropdown. Now you can add and edit content to your page.

  1. Add a title to your ceremony page.
  2. Upload a ceremony-specific Welcome Image (.jpg or .png format) and a brief Welcome Message.
  3. Add a Welcome Message.
  4. Add this year’s watermark for an added flourish.

Add Meta Title allows you to control the HTML Title of your Virtual Ceremony page. It will appear in the browser tab in which the Virtual Ceremony is displayed, and it is also important for users of assistive technologies to understand the content of the page.

Meta Description allows you to add a meta HTML tag to your Virtual Ceremony page. It will not be visible to most visitors, but users of assistive technologies and search engines will use this information to better understand the content of the page.

Set Open Date: Set the date/time when you want your page to go public to all users. Before your ceremony start time, visitors will see a message telling them when the page will open. NOTE: This message is not editable.

Additional Settings Information

You will find options to choose school colors, upload logos, add additional message text with embedded URL’s, and more.

  1. Set Graduate area title. This is the title that will appear above individual grad slides.
  2. Social Media Components:
    • For Twitter, enter your @username and a hashtag.
    • For Instagram, please only provide a link to a single Instagram post(not a user account). To do this, you will need to navigate the account, click on the post, and copy the into the Instagram Post URL box.
    • NOTE: Due to changes in Meta’s policies, Instagram posts are not currently available to embed on virtual ceremony pages.

    • For additional social media platforms, use the generic URL field. Do not include embed code.
    • TIP: Third-party video players and social media aggregators/visualizers that offer an embed code can be inserted into the Message section using the Tools menu.

Graduate Slide Filter Labels

If you plan to use filters to sort your graduate slides (eg Degree, Major), enter the filter labels in the respective fields. A title must be input into this field for the filter to be activated. Leave this field empty to disable the filter and remove that drop-down from the virtual slide database.

NOTE: The actual filter functionality will be set up by your Client Success Manager according to the choices you selected on your Ceremony Details survey. 
Use the Preview Site option to view the filters. If the values in the filter dropdown do not match the terms you expected, please contact your Client Success Manager.

Click Save and Preview Site to review your changes. When your changes are complete, click Publish to Live.

Add Video Content

Use the Videos module to embed video players directly on your virtual ceremony page. 

  1. MarchingOrder virtual ceremony pages support up to five embedded videos from YouTube or Vimeo.
    • Note: YouTube Live, YouTube Premiere and Vimeo Livestream links are also supported.
  2. Paste the video URL (not the embed code) into the designated box.
  3. Add a Video Title and Subtitle (if desired).
  4. Click Save Videos and Preview Site to review your changes. When your changes are complete, click Publish to Live.
