Send Scheduled Emails and Text Messages

 

Overview

MarchingOrder Assistant can email and text your graduates, and also schedule those communications for sending at a specific date and time. Follow the instructions below for scheduling your email and text communications.

Scheduling Emails

In the Communication Manager, start on the Send Email tab.

  1. Choose your audience from the Filters options:
    • Standard Filters include “All Graduates (for selected ceremonies)”, “Graduates Who Have NOT Completed Their Registration” and others. 
    • Custom Filter options will list your filtered views from the Graduates menu. 
      Important: A recipient ceremony must be selected before Custom Filter options will be visible. 

Note: Scheduled emails prepared with a filtered list will include the population that meets the criteria at the time of sending, not at the time of scheduling. For example, an email for “Graduates Who Have NOT Completed Their Registration” can be prepared weeks before the deadline, but only the graduates who haven’t completed their registration at the scheduled time will receive that message.

  2. When you’re ready to schedule the email, click Review recipient total. This will open a confirmation window.

    Here you can click on Schedule email for later, then select date and time for this email to go out.

    Once everything is correct, click Apply and then Schedule now to schedule your email.

    You can see your scheduled emails by clicking on the fourth tab: Scheduled Communications.

Scheduling Texts

To schedule text messages, follow these instructions:

  1. Select the desired recipient population from a View in the Graduates menu.
  2. Click the Actions menu and select Add to Text. This will take you back to the Send Texts tab in Communications.

  3. Write your message, then click the green Review Recipient Total button.
  4. On the pop-up window, click Schedule to send later. Clicking inside the empty square will bring up the calendar.

  5. Select your preferred date and time. Click Apply, then click Schedule now.
  6. You can see your scheduled emails by clicking on the fourth tab: Scheduled Communications.
